Privacy Policy

Effective Date: 15/10/2025

Operated by: 360 Web Services LTD (“we”, “us”, “our”)

1. Introduction

At Social Media Board, your privacy is important to us. This Privacy Policy explains how we collect, use, store, and share your personal information when you use our website and related services. We operate under the UK General Data Protection Regulation (UK GDPR) and are committed to transparency and data security.

For any privacy-related questions or requests, you can contact our Data Protection Lead at info@socialmediaboard.co.uk.

2. Data We Collect

We collect only the data necessary to provide our services effectively. The information collected depends on how you use the platform:

For Job Seekers:

  • Name and email address
  • CV (if uploaded), bio, and employment preferences
  • Activity on the platform (job applications, saved jobs, or recruiter reveals)
  • IP address and device data (for security and analytics)

For Recruiters:

  • Name and email address
  • Company name and details
  • Job listings and related preferences
  • Activity such as viewing applicants or managing job listings
  • IP address and device data (for security and analytics)

Automatic Location Data for Jobs

When a recruiter posts a new job, we automatically determine approximate geographic coordinates (latitude and longitude) for that job listing using the OpenStreetMap Nominatim service. This process uses only the job’s city or region information and does not include any personal or identifiable data. These coordinates are used solely to improve location-based search and filtering features.

3. How We Use Your Data

  • To provide access to and manage your account
  • To match job seekers with recruiters and enable job applications
  • To display, publish, and enhance job listings (including map-based search)
  • To process payments through PayPal
  • To send job alerts or newsletters if you have opted in
  • To monitor and improve site performance and security
  • To comply with legal and tax obligations
  • To detect and prevent misuse or fraud
  • Portfolio PDF Exports – when you export your portfolio as a PDF (including the “silent” export triggered after publishing), a copy of the PDF is generated and stored in a private, access-controlled area on our servers. This server copy is used so you can download or share your portfolio easily. It is accessible only to you (when logged in) and site administrators, is not publicly indexed, and is deleted if you delete your portfolio or upon request.

4. Legal Basis for Processing

  • Consent – when you register, upload a CV, or subscribe to job alerts/newsletters
  • Contractual necessity – to deliver the core platform functions (job applications, postings, contact reveals)
  • Legitimate interests – to improve services, analyse platform use, and protect against abuse
  • Legal obligations – to comply with applicable UK laws

5. How We Store and Protect Data

Your data is stored on secure servers managed by trusted providers:

  • IONOS – hosting provider
  • WordPress – website platform
  • PayPal – payment processor

We implement technical and organisational measures to prevent unauthorised access or disclosure. CVs and portfolios are only accessible to recruiters when you choose to share them. You should avoid including sensitive personal data such as health, political, or financial details in your uploads.

We use anonymous tracking pixels and redirect links in job alert emails to understand how many recipients open or click our messages. These logs are stored in a hashed format that cannot identify individuals and are used solely to improve delivery and relevance.

6. Sharing of Data

We never sell your personal information. We may share limited data as necessary with:

  • Recruiters or job seekers (only when you apply, post a job, or reveal contact information)
  • Service providers like Google Analytics, Google Ads, PayPal, and IONOS
  • Authorities, when required by law or court order

7. Cookies & Analytics

We use Google Analytics to understand visitor behaviour and improve our services. Analytics data is anonymised and does not identify individual users. You can control cookies through your browser settings at any time.

8. Advertising & Google Ads

Our platform may display third-party ads, including Google Ads. These may use cookies or similar technologies to deliver personalised or non-personalised ads. You can opt out of personalised advertising at Google Ads Settings.

We do not share identifiable user data with advertisers. Only aggregated metrics (such as number of views or clicks) may be used for ad performance reporting.

9. Data Retention

We retain data only for as long as necessary to provide services or comply with legal obligations:

  • Account data – while your account remains active
  • Financial records – as required by tax law

You can request account deletion at any time via your dashboard or by contacting us directly.

10. Your Rights (UK GDPR)

You have the right to:

  • Access the data we hold about you
  • Request correction or deletion of your data
  • Withdraw consent at any time
  • Object to processing or request data portability
  • Lodge a complaint with the Information Commissioner’s Office (ICO)

To exercise any of these rights, contact us at info@socialmediaboard.co.uk.

11. Data Breaches

In the event of a data breach that affects your personal information, we will notify you promptly and, where legally required, inform the Information Commissioner’s Office (ICO).

12. Automated Decision-Making

We do not currently use automated decision-making that produces legal or significant effects. If we introduce features such as AI-based job matching, we will update this policy and provide opt-out options.

13. International Data Transfers

Some service providers (e.g. Google, PayPal) may process data outside the UK. We ensure such transfers comply with UK GDPR safeguards, including adequacy decisions or standard contractual clauses.

14. Children’s Privacy

Social Media Board is intended for adults (18+). We do not knowingly collect data from minors.

15. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be notified via email or dashboard notice. Minor updates will be reflected by updating the effective date above.
